While working, you often need to zoom in or out of your Excel data sheet. Sometimes, you need to clearly see data in the sheet that’s why you have to zoom in and then zoom out. Working with a large data sheet often left you confused because you have many functions to perform. Therefore, you tend to find help to know how to zoom out in Excel quickly.

Keyboard + Mouse Combo to Zoom Out in Excel:
Though Excel lets you use mouse and keyboard commands individually, however, you can perform this function with a mutual combination as well.
The simplest and quickest trick is the mouse and keyboard combo that lets you zoom out.
CTRL + Scroll Wheel
Follow the steps given below to Zoom in and out:
- Open the sheet that you need to zoom.
- Press and hold the CTRL key from the keyboard.
- Move the scroll wheel in the forward direction to zoom in. Moving the scroll wheel in the backward direction would reverse the function and zoom out the sheet.
- The scroll wheel can zoom in on the sheet by 15% and also zooms out by 15%. In the status bar, you can see the current level of zoom.
How to Zoom In & Out Using the Mouse?
Simply press the CTRL key while rolling the scroll wheel forward or backward. It will zoom in and out of the sheet.
How to Zoom Out with Zoom Dialog using the Keyboard?
With the help of the zoom dialog located in the Ribbon, you can easily zoom in and out of the sheet. For this, you need help with the keyboard.
- Press the ALT key and you will see the badges or labels on the Ribbon.
- Press q and you will see the Zoom dialog box.
- Press w to see the View tab.
- With up and down arrow keys, you can choose a zoom level. You can even add a percentage by clicking on the Custom button.
- Press Enter key.
How to Set the Zoom Level with the Ribbon?
The above methods clearly show how you can zoom in and out a sheet of 15%. What would you do when you need to zoom in or out for more or less than 15%?
In this part, you will get to know how to set the zoom level by using the Ribbon. From the ribbon, you need to open the Zoom dialog box and then set the level as per your needs.
For this, you can follow the steps given below:
- Open the View tab.
- Select the Zoom option from the Zoom group. The Zoom dialog box will open up.
- Click on the magnification level given in the preset options. Or else, you can even add your value in the Custom filed box.
How to Add Zoom Commands to the Quick Access Toolbar?
By adding zoom commands to the Quick Access Toolbar, you can use keyboard shortcuts:
- Open the File tab and choose Options. A dialog box will appear.
- On the left side, choose Quick Access Toolbar.
- Click on the All Commands option from the Choose option given in the drop-down menu.
- Press the button you need to add.
- Click Add option for each button.
- From there, you can add the zoom-in and zoom-out buttons.
- You can even reset the button’s position by clicking on the button given below Customize Quick Access Toolbar. Choose the Move Up or Move Down arrows.
- Choose the Close option.

By default, Excel assigns keyboard shortcuts once the buttons are added. For instance, you can access the first button by pressing ALT + 1. Zoom In and Out with Slider:
This option is the most common one used in Excel and you can find it on the right side of the status bar.
- On the zoom slider, you can see the (+) (-) keys used for Zoom in and Zoom out.
- To reduce the sheet size while working, you can use the zoom-out option. With Zoom in, you can look closer at the sheet data more clearly.
- The page visibility is adjustable by sliding the central zoom key in both directions.
- By pressing the zoom-in key, the sheet will increase by 10%. Similarly, the sheet will decrease by 10% when you press the zoom-out key.
Things to Remember:
By selecting the zoom in or out keys, the function is applied only on the current sheet. To apply this function on other sheets, you need to activate them first.
To apply the zoom-in or out function on multiple sheets, you need to choose all the sheets and then apply this function by using the shortcut command.
